Reservations & Payments
To confirm your booking with Hyrax Safaris, a deposit of 30% of the total safari cost is required at the time of reservation. The remaining balance must be paid before the start of your safari unless otherwise agreed in writing. International guests may pay via bank wire transfer or credit/debit card in US Dollars, while Kenyan residents may pay in Kenya Shillings at the prevailing exchange rate on the payment date.
Tour Changes & Amendments
If you request changes to your itinerary after your safari has commenced, including changes to accommodation, activities, or travel duration, any additional costs incurred will be your responsibility. Hyrax Safaris cannot guarantee refunds for unused services or itinerary changes once the tour has started.
Safari Rates & Inclusions
Our safari prices include transportation in a suitable safari vehicle, the services of a professional driver-guide, scheduled game drives, accommodation as specified in your itinerary, government taxes, park entry fees (unless stated otherwise), and reservation handling charges. Safari prices do not include international or domestic flights (unless specified), visa fees, travel insurance, airport taxes, optional activities, drinks, laundry services, telephone charges, tips for guides and hotel staff, personal expenses, or any services not clearly listed in your confirmed itinerary.
Accommodation & Itinerary Changes
Every effort is made to provide the accommodations and services listed in your itinerary. However, due to seasonal demand or circumstances beyond our control, Hyrax Safaris reserves the right to substitute hotels, lodges, camps, or other services with alternatives of a similar or higher standard. We also reserve the right to adjust routes, departure times, or safari schedules due to weather conditions, road conditions, park regulations, mechanical issues, or other unforeseen circumstances. While such changes are rare, they are occasionally necessary to ensure the safety and comfort of our guests.
Safari Information
We strive to keep all information on our website, brochures, and quotations accurate and up to date. However, occasional changes or errors may occur. Guests are encouraged to carefully review all booking details before confirming their reservation. Any verbal information provided by our staff should be considered confirmed only when included in your official booking confirmation.
Liability
Hyrax Safaris is committed to providing safe, enjoyable, and professionally operated safari experiences. While we maintain comprehensive legal liability insurance for our safari vehicles, participation in safari activities is at the guest’s own risk. We work with carefully selected hotels, lodges, airlines, and other travel partners. As these services are provided by independent suppliers, Hyrax Safaris cannot be held responsible for delays, cancellations, accidents, injuries, loss of property, or service failures caused by third parties.
We are not liable for losses, delays, or damages resulting from circumstances beyond our control, including but not limited to adverse weather, road conditions, government actions, natural disasters, acts of terrorism, airline disruptions, or force majeure events.
Passports, Visas & Health Requirements
Guests are responsible for ensuring they possess a valid passport, the necessary visas, vaccination certificates (where required), and any other travel documentation before departure. Visa regulations may change without notice, and we recommend checking with the relevant embassy or immigration authority before traveling.
Baggage & Personal Belongings
All luggage and personal belongings remain the responsibility of the traveler throughout the safari. We strongly recommend securing comprehensive travel insurance that covers loss, theft, or damage to personal property.
Travel Insurance
Comprehensive travel insurance is mandatory for all guests traveling with Hyrax Safaris. Your policy should provide adequate coverage for medical emergencies, personal accidents, trip cancellations, evacuation, baggage loss, and other unforeseen travel disruptions.
Pricing
All safari prices are based on current government taxes, park fees, exchange rates, fuel costs, and supplier tariffs at the time of quotation. Hyrax Safaris reserves the right to revise prices should any of these costs change before your booking is fully paid. We also reserve the right to refuse or cancel any booking where necessary, in which case any applicable refund will be processed in accordance with our cancellation policy.
Cancellation Policy
Should you need to cancel your confirmed booking, the following refund policy will apply based on the number of days before your scheduled departure:
- 60 days or more: 90% refund
- 45–59 days: 60% refund
- 30–44 days: 50% refund
- 15–29 days: 25% refund
- 14 days or less: No refund
Refunds exclude any non-refundable payments made to third-party suppliers, bank charges, and transaction fees where applicable. We strongly recommend purchasing travel cancellation insurance to protect your investment in the event of unexpected changes to your travel plans.
